How HandiFox syncs with QuickBooks Online

The two systems divide the work rather than duplicate it. QuickBooks keeps the accounting, while HandiFox handles inventory operations, purchasing, sales workflows, and multi-location stock control. Inventory-related data syncs between the two systems.

Two-way synchronization

A full sync runs automatically every time you save your work in HandiFox. New transactions upload to QuickBooks right away, while changes made in QuickBooks — including products, customers, and transactions — download into HandiFox.

Map QuickBooks locations to HandiFox sites

Each HandiFox inventory site maps one-to-one to a QuickBooks location. Transactions assigned to that location affect the corresponding site, while transactions without a location go to the default Main site. This mapping helps keep quantity on hand consistent across both systems.

Data that syncs between the systems

Products, vendors, customers, and taxes come across from QuickBooks. Transactions created in HandiFox sync back — an item receipt becomes a bill, while an invoice remains an invoice. Purchase order numbers can also sync to a QuickBooks custom field.

What to know about the integration

Sales orders
Sales orders created in HandiFox do not sync to QuickBooks Online as sales orders due to a QuickBooks-side restriction.
QuickBooks Online plans
HandiFox Online connects with QuickBooks Online Plus or Advanced, the plans that include QuickBooks inventory features.
Item receipts in QuickBooks Online
If item receipts are enabled in QuickBooks Online, bills synced from HandiFox no longer update inventory quantities. Direct item receipt synchronization is not fully supported yet due to QuickBooks API limitations, so this setting should remain off.

1. Do I need QuickBooks Online Plus or Advanced to use HandiFox Online?
Yes. Plus and Advanced are the QuickBooks Online plans that include inventory features and allow the integration to be enabled. Lower plans do not support it. If you are unsure which plan you are on, our team can check before you start a trial.
2. When should I add HandiFox Online to QuickBooks Online?
When one of three things starts hurting: entering inventory transactions by hand takes real time, stock sits in more than one location and the single company total no longer answers questions, or your team needs to work at the shelf with a scanner. Until then, QuickBooks Online Plus may be enough on its own.
3. Which inventory and sales data syncs between HandiFox and QuickBooks Online?
Products, vendors, customers, and taxes come from QuickBooks. A full synchronization runs every time you save your work in HandiFox. Transactions created on either side reach the other right away, in rare cases with a two-to-five-minute delay. If something looks stale, you can force a synchronization from the web app — most apparent discrepancies are timing rather than missing data.
5. How do QuickBooks locations relate to HandiFox sites?
One to one. Each HandiFox site is associated with a single QuickBooks location, and transactions tagged with that location affect the matching site. Anything without a location applies to the default Main site. Map sites before entering large volumes of transactions — the association cannot be changed once saved.
6. Can I manage inventory from a phone or tablet?
Yes. HandiFox Online includes native Android and iOS apps covering barcode scanning, receiving, counting, transfers, picking, and invoicing. Most features keep working without a connection, and records sync once the device is back online.
7. What should I use if my business runs on QuickBooks Desktop?
HandiFox Desktop. It integrates with QuickBooks Desktop and uses Android devices for warehouse and field work. The inventory capabilities are comparable; the accounting system and mobile platform support differ.
