Improved Inventory Adjustments, PO Confirmation Status, and More

Over the summer of 2025, we’ve rolled out several updates designed to streamline your workflows, improve accuracy, and give you more control over your data in HandiFox. These enhancements were among the most requested by our users and are now live across web and mobile.

Let’s walk through what’s new.

Improved Inventory Adjustments (Web)

You can now link inventory adjustments in HandiFox to specific accounts (categories of financial activity) synced from QuickBooks. This ensures every adjustment has a clear financial trail and aligns seamlessly with your bookkeeping.

How it works

You can select an account while creating an adjustment, or you can preset the default account that would automatically show when creating an adjustment. To do the latter, go to Settings-> Inventory, and set up the default account for:

  • Inventory adjustments
  • Manufacturing Orders
  • Writing off expired products

Why it matters

This feature aims to minimize discrepancies between HandiFox Online and QuickBooks Online, and creates a clear financial trail for bookkeeping purposes. 

Pro tip

  • Stick with HandiFox for creating adjustments. While QuickBooks Online has improved, it still isn’t as reliable in this area. 
  • If you’re unsure which account to choose, select Inventory Shrinkage.

PO Confirmation (Web)

Managing purchasing across locations just got easier. You can now mark purchase orders (POs) as Confirmed or Not Confirmed, adding an extra layer of verification.

How it works

  1. Go to Settings Manage users → edit permissions.
  2. Under Web permissionsPurchases, enable Mark POs as Confirmed.

  1. On the Purchase Transactions page, open a PO and click Mark as Confirmed.

  1. Need to undo it? Reset to Not Confirmed if the PO is still Open.

You can also customize your table layout to display confirmation status at a glance. Click on the table icon and include Confirmed in its layout.

Why it matters

This feature is perfect for:

  • Multi-location businesses with a purchasing manager.

  • Vendors who need to confirm receipt of your PO before fulfillment.

Memo Column on Sales and Purchase Transactions Pages (Web)

Add the Memo field as a column on your Sales and Purchase Transactions pages for faster referencing. Just go to FiltersTable icon → Memo.

Bonus: Page loading speeds on Sales and Purchases are now 5x faster.

Cleaner Excel/CSV Report Export 

Exporting data is now more flexible and filter-friendly. We’ve improved exports for:

  • Inventory Transactions by Item

  • Sales by Item Detail

  • Sales by Customer Detail
New Export Option in HandiFox Online

Auto-save sales transactions (Web)

If you leave a sales transaction open for more than 30 minutes, HandiFox now auto-saves your progress.

  • To enable, go to Settings → Sales → Auto-save transaction when session ends.

  • If data conflicts occur, the system won’t auto-save to prevent overwriting.

Show product descriptions under product names (iOS)

iOS users can now choose to display product descriptions beneath item names across the Inventory List and all transactions.

To enable: More → toggle Show Description under item names.
